Terms of Service
Last updated: October 11, 2026
1. Acceptance of Terms
These Terms of Service (“Terms”) are an agreement between you and C&F Solutions LLC, doing business as Pyllar (“Pyllar,” “we,” “our,” or “us”), and govern your use of the Pyllar mobile apps, web app and customer portal (the “Service”). If you use the Service on behalf of a company or other organization, you represent that you have authority to bind that organization, and your acceptance is acceptance by that organization.
You accept these Terms by checking the box when you create an account or accept an invitation, or by accepting them when the app asks. We keep a record of the version you accepted and when. Our Privacy Policy explains how we handle personal information and is part of these Terms. If you do not agree to these Terms, do not use the Service.
2. Description of Service
Pyllar is a field service management platform made up of iOS and Android apps, a web app and a customer portal. It helps businesses manage jobs, customers, team members, scheduling, dispatch, estimates, invoicing, payments, quality control and related work.
The Service is offered only to businesses located in the United States and is not intended for use outside the United States.
3. Account Registration
To use the Service, you must create an account. You agree to:
- Provide accurate, current and complete information during registration
- Maintain and update your account information
- Keep your credentials (password, passkey or biometric) confidential and not share them with others
- Notify us immediately of any unauthorized use of your account
- Accept responsibility for all activity that occurs under your account
The person who creates a company’s account is its owner. The owner and administrators control the company’s settings, team members and billing.
4. Free Trial
New subscriptions include a 30-day free trial. Each person gets one free trial: if the email address used to sign up has started a Pyllar trial or had a Pyllar subscription before, the subscription is billed from the day you sign up. You enter a payment method when you start the trial. Unless you cancel before the trial ends, your subscription continues and your payment method is charged automatically at the end of the trial.
5. Subscription, Billing and Automatic Renewal
Access to the Service requires a subscription, unless Pyllar has given your company a free plan. Subscriptions are billed monthly in advance. All fees are stated in U.S. dollars and do not include applicable taxes.
Payments are processed by Stripe. Your subscription renews automatically each month until you cancel it, and by subscribing you authorize us to charge your payment method for each renewal. The owner or an administrator can manage the subscription, payment method and invoices on the web under Settings → Company → Billing & invoicing → Plan.
We may change subscription prices or the platform fee rate with at least 30 days’ notice by email or in the app. A price change applies from your next renewal after the notice period. If you don’t agree, you can cancel before it takes effect.
6. Plan Changes
The owner or an administrator can switch plans on the Plan page. You can’t move to a plan whose user limit is lower than your current number of team members.
- Upgrades take effect right away, and you are charged a prorated amount for the rest of the current billing period at that time. If the charge fails, the plan doesn’t change.
- Downgrades take effect right away. The prorated value of the unused part of your higher plan becomes a credit on your account and is applied to your future invoices. It is not refunded to your payment method.
7. Cancellation and Refunds
You can cancel your subscription at any time from the billing portal linked on the Plan page, or by contacting support@pyllarhq.com. Cancelling stops the next renewal; you keep access until the end of the period you have already paid for, and your company is then suspended until an owner or administrator renews.
Fees are non-refundable. We do not give refunds or credits for partial billing periods, unused time or unused features, except for downgrade credits described in Section 6 or where the law requires.
8. Failed Payments
If a renewal payment fails, Stripe retries the charge over the following days. During that time your company keeps full access, and the owner is notified by email while owners and administrators see a notice in the app asking them to update the payment method. If the payment still can’t be collected after the retries, the subscription ends and the company is suspended: team members can no longer sign in. An owner or administrator can renew by signing in and completing payment. Your data stays in place while the company is suspended (see our Privacy Policy).
9. Payments From Your Customers
If your company turns on online payments, your customers’ payments are processed through Stripe Connect. Pyllar charges a 1.5% platform fee on payments collected through Pyllar’s online payment page. This fee is deducted from your Stripe payout; your customers are charged exactly the invoice amount and pay no additional fee. The platform fee does not apply to payments recorded outside of Stripe (cash, check, QuickBooks Payments or other processors). You are responsible for complying with the laws that apply to collecting payments from your customers, and Stripe’s terms apply to your Stripe account.
10. Acceptable Use
You agree not to use the Service to:
- Violate any applicable law or regulation
- Infringe the intellectual property rights of any party
- Transmit malware, viruses or other harmful code
- Attempt to gain unauthorized access to any part of the Service or its infrastructure
- Reverse engineer, decompile or disassemble the Service
- Use automated means (bots, scrapers) to access the Service without our express written consent
- Resell or sublicense access to the Service
- Store or transmit content that is unlawful, harassing, defamatory or obscene
- Send messages to people who have not agreed to receive them, or send spam
- Submit sensitive personal information (such as payment card numbers, government identification numbers or protected health information) to the AI assistant
11. Messages to Your Customers
The Service lets you email and text your customers, for example estimates, invoices, reminders, “on the way” notices, review requests and campaigns. You are the sender of these messages and are responsible for them. You must have any consent the law requires before you message someone, and you must comply with the CAN-SPAM Act, the Telephone Consumer Protection Act (TCPA), and similar federal and state laws. Pyllar includes an unsubscribe link in campaign and review-request emails and stops texts to anyone who replies STOP, and you must not try to work around these opt-outs.
12. Location Features
The Service includes shift location sharing: while a team member is on shift, the app sends their device’s location to Pyllar, including in the background, and managers and administrators in the same company can see it. We keep only the latest location and delete it when the shift ends. If your company turns on automatic job start, the app also uses background location on the team member’s device to notice when they arrive at a job.
As the employer, you are responsible for telling your team members how and when their location is used, for getting any consent the law requires, and for complying with all employment, labor and privacy laws that govern employee monitoring where you operate. The app shows team members a notice before location sharing starts and links to your company’s privacy policy if you provide one in Settings.
13. AI Assistant
The Service includes an AI assistant that your company can turn on by connecting its own Anthropic API key. When it is on, messages and limited account context are sent to Anthropic, as our Privacy Policy describes. By using the AI assistant, you agree that:
- Requests are made with your company’s Anthropic API key, and your company’s agreement with Anthropic governs Anthropic’s handling of that data and any charges Anthropic bills for it
- You will not submit sensitive personal information, payment card data or government identification numbers to the AI assistant
- AI-generated responses are informational only and are not professional, legal, financial or compliance advice
- You are responsible for checking AI-generated output before acting on it
14. Your Data
You retain ownership of all data you put into the Service (“Customer Data”). You grant Pyllar a limited license to store, process and transmit Customer Data only as needed to provide and support the Service, as described in our Privacy Policy.
You are responsible for the accuracy and legality of your Customer Data, including personal information about your own customers and team members, and for giving any notices and getting any consents required to collect it and process it through the Service.
15. How We Process Your Data
For personal information in your Customer Data, Pyllar acts as your service provider and commits to the following:
- We process it only to provide, secure and support the Service for you, on your instructions as expressed through your use of the Service and these Terms, and as the law requires
- We do not sell it, share it for cross-context behavioral advertising, or combine it with other data for our own purposes
- Pyllar staff and contractors who can access it are bound by confidentiality obligations
- We use reasonable technical and organizational security measures to protect it
- We use the subprocessors listed in our Privacy Policy, which we will update before adding new ones
- We will notify you without undue delay if we learn of a security breach affecting it
- We will help you respond to requests from your customers and team members about their information
- When you close your company, we delete it as described in Section 20
Pyllar also collects crash and error reports and usage analytics about how the Service is used, as described in our Privacy Policy, and uses them only to run and improve the Service.
16. Intellectual Property
The Service, including its software, design, trademarks and content created by Pyllar, is owned by Pyllar and protected by intellectual property laws. Nothing in these Terms grants you any right, title or interest in the Service other than the limited right to use it as described in these Terms.
17. Third-Party Services
The Service relies on and integrates with third-party services. Your use of those services is subject to their own terms and privacy policies, and Pyllar is not responsible for their availability or accuracy. They include:
- DigitalOcean — hosting for our servers and database
- Cloudflare — storage for uploaded photos and files (R2)
- Stripe — subscription billing and, if enabled, customer payments via Stripe Connect
- Resend and Twilio — email and text message delivery
- Apple and Google — push notifications, passkeys, Live Activities, maps and app store distribution
- Anthropic — the AI assistant, using your company’s own API key
- Map, address and weather providers — Esri, OpenFreeMap, the U.S. Census Bureau, OpenStreetMap, the U.S. Geological Survey, Tomorrow.io, OpenWeatherMap and Open-Meteo
- Sentry — error and crash monitoring for our servers, web apps and mobile apps; receives the crash and error reports described in our Privacy Policy
- QuickBooks (optional) — accounting integration; data you choose to sync is governed by Intuit’s terms
18. Service Availability
We strive to maintain high availability but do not guarantee uninterrupted access to the Service. We may perform maintenance or updates, or experience downtime for reasons outside our control. We will make reasonable efforts to give advance notice of planned maintenance.
19. Suspension and Termination by Pyllar
We may suspend or terminate your company’s or a team member’s access if you violate these Terms, fail to pay, create risk or legal exposure for Pyllar or others, or if the law requires it. We may also place a company’s account on hold. While an account is on hold, no one in the company can sign in, and paying or renewing will not reactivate it; contact support@pyllarhq.com to resolve it. Where reasonable, we will tell you why and give you a chance to fix the problem first.
20. Closing Your Company and Deleting Your Account
Closing your company: The owner can close the company from Settings. Closing it cancels the subscription and stops billing immediately, with no refund for the rest of the current billing period, signs everyone out, and deletes the owner’s own account. We keep the company’s data for 30 days, during which you can contact support to restore it. After 30 days, the company’s data is permanently deleted and can’t be recovered. Export any records you want to keep before you close.
Deleting your personal account: You can permanently delete your personal account at any time in the app or on the web without contacting support. The owner must transfer ownership or close the company first. See our Account Deletion page for what happens to your data.
Either party may end the agreement under these Terms at any time as described above. When it ends, your right to use the Service ends. Sections 5 through 9 (as to amounts owed), 14 (Your Data), 15 (How We Process Your Data), 21 (Disclaimer of Warranties), 22 (Records and Regulatory Compliance), 23 (Limitation of Liability), 24 (Indemnification) and 26 (Governing Law and Venue) survive, along with any obligation to pay fees owed before the agreement ended.
21. Disclaimer of Warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. PYLLAR DOES NOT WARRANT THAT THE SERVICE WILL BE ERROR-FREE OR THAT DEFECTS WILL BE CORRECTED. AI ASSISTANT OUTPUTS, WEATHER DATA AND MEASUREMENT SUGGESTIONS ARE NOT GUARANTEED TO BE ACCURATE AND SHOULD NOT BE RELIED UPON AS PROFESSIONAL ADVICE.
22. Records and Regulatory Compliance
The Service helps you keep records such as chemical and pesticide application logs, licenses and certifications, checklists, photos, signatures and time entries. Pyllar does not give legal or regulatory advice, and we do not promise that the Service, its forms or the records you keep in it meet the requirements of any federal, state or local agency, licensing board or customer contract. Requirements differ by state, license type and product. You are responsible for knowing which records you must keep; for entering complete and accurate information (for example EPA registration numbers, application rates, weather conditions and restricted-entry intervals where required); for keeping records for as long as the law requires; and for filing any reports with the right agency. Keep your own copies of records you are legally required to retain, including before you close your company, because we delete Customer Data as described in Section 20.
23. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, PYLLAR SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS OR REVENUES, WHETHER INCURRED DIRECTLY OR INDIRECTLY, OR ANY LOSS OF DATA, GOODWILL, OR OTHER INTANGIBLE LOSSES, RESULTING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE.
IN NO EVENT SHALL PYLLAR’S AGGREGATE LIABILITY EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID FOR THE SERVICE IN THE 12 MONTHS PRECEDING THE CLAIM, OR (B) $100.
24. Indemnification
You agree to indemnify, defend and hold harmless Pyllar and its officers, directors, employees and agents from any claims, damages, losses, liabilities and expenses (including attorney’s fees) arising from your use of the Service, your Customer Data, messages you send to your customers through the Service, your use of the AI assistant, your use of the location features, or your violation of these Terms.
25. Changes to Terms
We may update these Terms from time to time. When we make material changes, we will notify account owners by email or in the app and update the “Last updated” date. The app will ask each user to review and accept the updated Terms and Privacy Policy, and you may need to accept them to keep using the Service. We record the version each user accepted and when. If you don’t agree to the updated Terms, stop using the Service and, if you are the owner, cancel your subscription or close your company.
26. Governing Law and Venue
These Terms are governed by the laws of the State of Georgia, USA, without regard to its conflict of law rules. Any dispute arising out of or relating to these Terms or the Service will be brought only in the state or federal courts located in Glynn County, Georgia, and you and Pyllar consent to the personal jurisdiction of those courts.
27. Contact Us
